At ER Event Photography we are dedicated to safeguarding and preserving your privacy when visiting our site or communicating electronically with us.  This Privacy Policy, together with our terms of use and terms and conditions, provides an explanation as to what happens to any personal data that you provide to us, or that we collect from you.  We do update this Policy from time to time so please do review this Policy regularly.  For the purpose of the Data Protection Act 1998 our data controller is John Davies.

Information We Collect

In operating our website we may collect and process the following data about you:

i. Details of your visits to our website and the resources that you access, including, but not limited to, traffic data, location data, weblogs and other communication data, this doesn’t give us any personal details.

ii. Information that you provide by filling in forms on our website, such as when you have requested a quotation, filled in our booking form or logged into our Online Client Area, this may include; Your Name | Email Address | Phone Number | Home Address | Event Address | Business Address

iii. We also store information provided to us when you communicate with us for any reason regarding your event/project such as job description, this is not considered personal data but we do keep it for reference.

iiii. On certain jobs, we will also collect information of children under the age of 16, this will only be the child’s name to help process the images taken. This information will be stored on a private password protected gallery for use by the client and not shared with any third parties.  Consent Forms will be issued to parents or legal guardians of those under the age of 16.

Storing Your Personal Data

We will take all reasonable steps to make sure that your data is treated securely and in agreement with this Privacy Policy and GDPR Guidelines.

All Data collected during your booking is stored on a calendar management system which is password protected, an invoice system which is password protected, and an online password protected image gallery.  All such information is kept for the lifetime of our business, keeping this data helps us keep providing a service after the event, our images galleries have 24-hour access and it’s a way of storing the images safely.

The transmission of information via the internet is not completely secure and therefore we cannot guarantee the security of data sent to us electronically and transmission of such data is therefore entirely at your own risk. Where we have given you (or where you have chosen) a password so that you can access certain parts of our site, you are responsible for keeping this password confidential.

Use of Your Information

The information that we collect and store relating to you is primarily used to enable us to provide our services to you. In addition, we may use the information for the following purposes:

i. To provide you with the information you have requested from us, relating to our products or services.

ii. To meet our contractual commitments to you.

iii.  Information is only kept so that we can keep you informed on the process of your booking and provide the aftercare needed to deliver the images.

Disclosing Your Information

We will not disclose your personal information with any other company unless under these specific circumstances.

i. Where we may purchase products such as framing, prints or albums and need to have them delivered by courier.

ii. Where we are legally required to disclose your information.

iii. To assist fraud protection and minimise credit risk.

Under Article 17 of the GDPR you have the right to have personal data deleted.  When information is required to comply with legal obligations then we are unable to delete this data, ie: on an invoice.
